Update Automated Replies When Your Product Changes
A product release changes the facts customers need, but automated messages often remain untouched. The result is an assistant describing an old interface or an offer that no longer exists. Include reply updates in the release process rather than treating them as later marketing work.

The decision to make
Map each changed capability to its public help, saved replies, AI knowledge and landing pages. Update the claims together. Keep historical instructions only when they are clearly labeled for users who still need them.
A practical workflow
- 1Step 1List customer-facing facts affected by the release.
- 2Step 2Revise messages and linked instructions before promotion.
- 3Step 3Run regression questions covering both changed and unchanged features.
Worked example
If a setting moves from one setup step to another, update the guide and the reply that describes its location. A correct link with obsolete instructions still wastes time.
What to avoid
Do not advertise a planned feature as live just because the release copy is ready. Verify production availability before changing automated promises.
Where AP3K fits
AP3K combines configured response workflows with optional AI features. Use saved copy when an exact answer is required, and maintain approved knowledge when using AI. An automated answer should remain within the product facts and business commitments you can verify. Account access, supported triggers and platform messaging restrictions still apply. Test both a normal request and a question the responder should not answer before expanding its scope.
How to judge the result
Review post-release support questions for stale instructions. Use those findings to improve the next release checklist.
- Approved knowledge has no conflicting or obsolete facts.
- Unsupported questions have a useful, truthful fallback.
- A human reviewer checks accuracy separately from tone and delivery.
