Write a Complaint Acknowledgment That Does Not Sound Dismissive

A complaint needs recognition and a clear route to help. A cheerful marketing response can make the situation worse, especially when the customer has already explained the problem. A reusable acknowledgment should support a human response without pretending the issue is resolved.

The decision to make

Acknowledge the specific type of problem and explain the next action the team can actually take. Avoid automatic promises of refunds, compensation or fixed resolution times unless those promises are authorized and consistently supported.

What to avoid

Do not state “resolved” merely because an acknowledgment was sent. Avoid asking customers to repeat information already available to the support team.
