An AI responder is useful when incoming questions vary but the facts are stable. It needs accurate business knowledge and clear limits, not just a friendly tone. Start with a small set of questions and check the answers before enabling AI in a live automation.
Teach the AI only approved facts
Add focused knowledge notes for products, prices, opening hours, delivery and booking rules. Give each note a specific topic. Keep customer records, passwords and payment details out of the knowledge base. Update time-sensitive facts when offers change, and explain what the AI should do when information is missing.
Set behavior and test difficult questions
Choose a tone and configure the available protections. Test ordinary questions, ambiguous requests and questions the knowledge does not answer in Playground. Check that the response does not invent prices, promises or availability. A saved test conversation is not automatically a new business fact; save useful knowledge explicitly.
Enable AI only where it is needed
AP3K offers AI on paid plans with a separate allowance. Enable the relevant workspace setting and the AI action in the selected automation. Keep deterministic keyword-to-link delivery for fixed resources. Watch usage and review a sample of replies; analytics can show activity, but human review is still needed for answer quality.
Compare AI capability with a ChatGPT integration
An AI feature does not necessarily connect to your personal ChatGPT account or accept your own API key. AP3K provides its configured AI service; do not assume a particular model or bring-your-own-key integration is included. When comparing tools, ask which models, languages, knowledge controls, limits and human handoff options are actually supported.
